Tourplan contract loading

Every supplier contract loaded into Tourplan, and proven in the book.

RateReady loads lodge, hotel, transfer and activity contracts into Tourplan for DMCs and tour operators, then reads every rate back out of Tourplan before it counts.

Why an unloaded rate costs more than it looks

When a rate isn't loaded, Tourplan doesn't refuse to quote. It takes the highest loaded rate and adds ten percent. So a contract sitting in someone's inbox isn't a gap on the quote; it's a made-up price nobody agreed.

In Durban, one re-contract had been sitting unloaded behind the old rates, with about ZAR 975 per room-night of already-negotiated margin going unclaimed.

Built around how Tourplan actually behaves

What Tourplan doesWhat RateReady does about it
Licence seats are limitedWrites over productConnect, Tourplan's own documented API, so it holds no licence seat and nobody gets locked out while it loads.
A write can return success and store nothingReads the book back after every load. Eighteen single rates were once accepted and silently discarded because the room type wasn't flagged as available single.
A rate period is replaced wholeKeeps what a new contract doesn't restate. An update that would have deleted live child rates was stopped before it reached the book.
Missing rates quote at highest rate + 10%Clears the backlog, then keeps a chase list of suppliers whose rates run out before next year.
Offers sit on top of base ratesLoads stay-pay, honeymoon and long-stay offers with the rates they belong to. In Durban, 325 agreed offers were loaded, and 163 offers were found in Tourplan with no contract on file.

What gets loaded

Rates by room, season and occupancy, in the currency your book uses by country. Single rates, child rates and the child policy wherever the contract states one. Levies and park fees. Special offers. Cancellation terms and notes, by category, alongside the rates.

Accommodation, transfers, day tours, flights, rail, activities, private vehicles and packages all go in the same way: read, checked, ticked, written, proven.

Not on Tourplan?

The intelligence is in how the data is pulled out of any file format, structured or unstructured. With that it can update whatever system you use: Tourplan, Travelogic or anything else. If the integration with your system isn't built yet, I'll investigate, scope and build it at no additional charge.
