Getting started

What the first month looks like, and what I'd need from you.

Less than you'd think. Most of the work is mine. The part that has to be yours is the commercial calls only you can make.

How it starts

  1. Thirty minutes and a live demo

You see the service working on real contracts, and I get a feel for your book and where it hurts.

  2. One conversation and a read-only look at your book

Every check is built around your own codes, tiers and conventions, so I learn those before I write anything.

  3. Two of your contracts, end to end, on a test instance

The read, the checks, the questions, the approval page and the read-back, before you commit to anything.

  4. Then the backlog

Clear what's behind, the contracts running out soonest first. In Durban, 179 properties were loaded in the first fourteen days and the whole book in 38.

  5. Then steady state

New contracts and specials go in as they arrive, and renewals are checked against last year's numbers.

What I'd need from you

Access to your systemOn Tourplan, productConnect access for a live book and a test one. If you run something else, I'll investigate, scope and build the integration at no additional charge.
Where your contracts arriveA shared folder, or a forwarding address. Nobody has to rename or reformat anything.
One person to answer questionsSomeone who knows your commercial decisions. In Durban the typical question was closed in under two and a half days.
Your house rules, onceThe things your book does by convention that no contract says.

The house rules, in practice

Every book has conventions nobody wrote down. These are the ones that came up in Durban, so you'll be asked about them once, early, rather than one contract at a time:

  • Which currency by country, and whether rates are loaded tax inclusive or exclusive.
  • Your markups and how sell prices are worked.
  • Child age bands, and what happens when a contract only prints a percentage.
  • How a levy or park fee is charged when the contract doesn't say.
  • Your default cancellation terms when a supplier refers to "standard terms".
  • Which days count as the weekend when a contract has weekend rates and doesn't say.
  • Whole villas and houses: priced per unit, or per guest band.

Each answer becomes a rule the service applies from then on. Nobody gets asked the same thing twice.

What you get

  • Your contracts loaded, every one read back out of your book before it counts.
  • One question sheet, with the reason and the page attached to every question.
  • A dashboard that shows what's waiting, what's loaded, what's carrying a problem, and whose move it is.
  • A chase list of the suppliers whose rates run out before next year and haven't sent a contract.
